What to Expect When Scheduling Your First Therapy Appointment
Starting therapy is a big step, and we want the process of getting started to feel as simple and straightforward as possible. At A Better Tomorrow Counseling Services, our Client Care Coordinators help guide you through the scheduling process, from your initial inquiry to finding a therapist and appointment time that work for you.
Because we have a team of therapists with different specialties, schedules, and areas of experience, we take the time to understand what you are looking for before scheduling your first appointment. Our goal is not simply to find an open appointment— it is to help you find a therapist and schedule that are a good fit for your needs and your life.
Step 1: Tell Us What You’re Looking For
When you first contact A Better Tomorrow Counseling Services, a Client Care Coordinator will gather information about what brings you to therapy and what you are hoping to work on.
You may be asked about:
- Your primary concerns or reasons for seeking therapy
- Your treatment goals
- Whether you are looking for individual, couples, family, child, adolescent, or teen therapy
- Your preferred therapist characteristics or preferences (age, gender, ethnicity, etc.)
- Whether you prefer in-person or telehealth appointments
- Your preferred days and times
- How frequently you would like to attend therapy
- Your insurance information and other payment details
You do not need to know exactly what type of therapy you need before contacting us. If you aren't sure which therapist or type of treatment would be the best fit, our Client Care Coordinators can help guide you based on the information you provide.
Step 2: Finding a Therapist Who Is a Good Fit
Once we understand what you are looking for, our Client Care Coordinators review the available options within our practice.
We consider several factors when helping match you with a therapist, including their areas of experience, the concerns they commonly work with, the populations they serve, their therapeutic approach, and their current availability.
For example, someone looking for support with trauma may benefit from a therapist with specific trauma-focused experience. A parent seeking counseling for a teenager may need a therapist who regularly works with adolescents. Someone experiencing relationship difficulties may be better matched with a therapist who provides couples counseling.
At the same time, a therapist's specialty is only one part of finding the right fit.
Step 3: We Consider Your Schedule, Too
One of the most important parts of finding a therapist is finding an appointment time you can realistically maintain.
We don't want to schedule you for an appointment simply because the time is available if it is unlikely to work with your regular schedule.
When possible, our Client Care Coordinators work with you to identify an appointment time that you can consistently attend on a weekly or biweekly basis, depending on your treatment needs and your therapist's recommendations.
For example, if you work until 5:00 p.m. every weekday, scheduling an appointment at 3:00 p.m. may not be a sustainable option- even if that appointment is currently available. Instead, we will work to identify an option that better fits your routine.
Consistent attendance can help support continuity in therapy and make it easier to establish a predictable rhythm for treatment. We understand that schedules change, but starting with an appointment time that realistically fits your life can make the process much easier.
Step 4: Verifying Your Insurance
If you plan to use health insurance to pay for therapy, insurance verification is an important part of the scheduling process.
Before your first appointment, our team will need to verify information such as your insurance eligibility and benefits, behavioral health coverage, copay or coinsurance, deductible, and other applicable coverage requirements.
Insurance plans can vary significantly, and having insurance does not necessarily mean that every mental health service or provider is covered in the same way. Verification helps us provide you with information about your expected financial responsibility before beginning services.
Please keep in mind that insurance verification is not a guarantee of payment or coverage. Your insurance company ultimately determines how claims are processed and what services are covered under your specific plan.
Providing accurate and up-to-date insurance information when you contact us can help prevent delays and allow our team to complete the verification process as efficiently as possible.
Step 5: Scheduling Your Appointment
Once we identify a therapist and appointment time that appear to be a good fit, our Client Care Coordinator will work with you to schedule your appointment.
Depending on availability, you may be offered one or more appointment options. Sometimes the therapist who appears to be the best clinical fit may not have an appointment time that works with your schedule. In those situations, we may discuss other therapists who have similar areas of experience and more compatible availability.
Our goal is to find the best overall fit- not simply the first available appointment.
Why We Ask So Many Questions
If you've ever wondered why we ask about your concerns, schedule, insurance, and preferences before scheduling you, it's because these details help us make a more informed match.
You may see an available appointment online or be told that a particular therapist is accepting new clients, but that doesn't necessarily mean they are the best option for you.
We consider the bigger picture:
What do you need help with?
What type of therapist may be a good fit?
What appointment time can you consistently attend?
Does the therapist have availability that works with your schedule?
Can we verify your insurance or explain your payment options?
Putting these pieces together helps us create a smoother start to therapy.
What If I Don't Know Which Therapist I Want?
That's completely okay.
You do not need to spend hours researching therapist profiles or understand every therapeutic approach before reaching out. Our Client Care Coordinators are here to help.
You can simply tell us what you're experiencing, what you hope to work on, and what your schedule looks like. From there, we can help identify therapists who may be a good match.
You are also welcome to review our therapist profiles to learn more about our team and their individual areas of experience.
What If My First Choice Isn't Available?
Our therapists have different schedules and availability, and some may have waiting lists or limited openings.
If your preferred therapist is not currently available, our Client Care Coordinators can help you explore other options within our practice. Because we have a diverse team, another therapist may have similar experience or expertise while offering an appointment time that works better for you.
If your schedule is particularly limited, letting us know your availability upfront can help us identify realistic options.
Our Goal Is to Make Getting Started Easier
We understand that reaching out for therapy can feel difficult. The last thing we want is for the scheduling process to become another source of stress.
Our Client Care Coordinators are here to help you navigate the process, answer questions, verify insurance information, consider your scheduling needs, and connect you with a therapist who may be a good fit.
You don't have to figure it all out before you contact us.
Whether you're looking for individual therapy, couples counseling, family therapy, or counseling for a child, adolescent, or teen, we're here to help you take the first step.
